Unpaid invoice follow-up

How to Follow Up on an Unpaid Invoice Without Making It Weird

Late invoices are awkward because you need to protect cash flow without turning a normal customer relationship into a confrontation. A simple, consistent follow-up schedule solves most of that tension.

1. Send a friendly reminder before the due date

A short heads-up a few days before the invoice is due can prevent a late payment without sounding like collections. Include the invoice number, amount, due date, and payment instructions.

2. Follow up on the due date

If payment has not arrived, send a concise reminder that the invoice is due. Assume good intent and make it easy for the customer to act.

3. Get firmer as the invoice ages

At seven days overdue, ask for a payment date. At thirty days overdue, clearly state that the balance remains outstanding and request a prompt update. The tone can become firmer while staying professional.

  • Avoid vague language
  • State the amount and invoice number
  • Ask when payment can be expected
  • Keep a record of each reminder

4. Stop reminders immediately when payment arrives

Nothing makes automated follow-up feel robotic faster than sending a reminder after someone has already paid. Mark invoices paid as soon as payment is received so future reminders stop.

5. Use a repeatable process instead of memory

The hard part is not writing one email. It is remembering which customer needs which reminder on which day. That is the part OwePilot is designed to automate.
